How to Follow Up With Leads: A Simple Process for Small Businesses

A step-by-step lead follow-up process for small businesses — how fast to respond, which channel to use, what to say, and how to stop leads slipping through the cracks.

Most small businesses don't lose customers because their offer is wrong. They lose them because nobody got back to the enquiry in time — the form landed in an inbox nobody checked, the lead ad sat in Facebook, or the call-back simply got forgotten.

A simple, repeatable follow-up process fixes most of that. You don't need a complex sales system — just clear steps, a few ready-made messages and a way to see which leads are still waiting.

Why follow-up is where sales are won

When someone fills in a form or answers a lead ad, they are interested right now. They are often contacting other businesses at the same time. The business that replies first, clearly and helpfully, has a real advantage — not because it is pushy, but because it is there when the customer is ready to talk.

Follow-up also matters later. Many people aren't ready to buy on the first contact. A polite, well-timed second or third message is often what turns "maybe" into a booking.

Step 1: Get every lead into one place

Leads usually arrive from several directions: website forms, Facebook and Instagram lead ads, phone calls, messages and email. When they are scattered, some are always missed.

Start by making sure every new lead ends up in a single list, with:

  • the person's name and contact details;
  • where the lead came from (which form or ad);
  • the date and time it arrived;
  • a status, so you know what has happened so far.

Step 2: Reply fast — ideally the same hour

Speed is the single biggest improvement most businesses can make. Aim to make first contact as soon as you can during working hours, and set a clear rule for leads that arrive in the evening or at weekends — for example, first thing the next morning.

To make this possible:

  • Turn on instant alerts so someone knows the moment a lead arrives.
  • Decide who is responsible for new leads each day. "Everyone" usually means no one.
  • Keep a short first message ready so replying takes a minute, not a morning.

Step 3: Use the right channel

Match the channel to how the lead contacted you and what they prefer.

  • Phone is best for high-value or urgent enquiries, like a repair or a quote.
  • SMS works well for a quick first touch: short, personal and easy to reply to.
  • WhatsApp is a natural choice in many countries and for customers who message you there first.
  • Email suits detailed information, quotes and documents.

A good pattern is to try a call first, then follow with a text so the person has your name and number even if they couldn't pick up.

Step 4: Know what to say

Your first message should be short and focused on them, not on you.

Example — first text after a form enquiry:

Hi Emma, it's Sam from Brightside Plumbing. Thanks for your enquiry about the boiler service. Is now a good time for a quick call, or would later today suit you better?

Example — follow-up after a missed call:

Hi Emma, I just tried to call about your boiler service request. You can reach me on this number any time today, or reply with a time that suits you.

Example — a gentle second follow-up a few days later:

Hi Emma, just checking in on the boiler service. We have a couple of slots open next week if that helps. Happy to answer any questions.

Keep each message easy to answer: a clear question, a suggested time, or a simple yes/no.

Step 5: Track every lead with a status

Statuses turn a messy list into a clear to-do list. A simple set is enough:

  • Pending — new, not contacted yet;
  • Interested — conversation started;
  • Booked — appointment made or sale agreed;
  • No answer — tried, no reply yet;
  • Not interested — closed politely;
  • Bad lead — spam or wrong details.

Update the status after every contact. At a glance, you can see who needs a call today and which leads are going cold.

Step 6: Follow up more than once

Plenty of leads don't reply to the first message — they are busy, not uninterested. A simple follow-up rhythm might look like this:

  1. Same day: first call or text.
  2. Next day: second attempt on a different channel.
  3. A few days later: a helpful reminder with a reason to reply.
  4. About a week later: a final friendly check-in, then mark the lead accordingly.

Stop when someone clearly says no — respect builds your reputation — but don't give up after a single unanswered message.

Step 7: Review your leads every week

Once a week, spend fifteen minutes looking at the numbers:

  • How many new leads came in, and from where?
  • How many are still pending?
  • How many turned into bookings?

This tells you which forms and ads are worth the money and where your follow-up needs work. If one source brings lots of leads but few bookings, that's worth a closer look.

Put the process on autopilot

A process only works if it's easy to follow on a busy day. Linkspex lead management brings leads from your Linkspex forms and Facebook and Instagram lead ads into one list, synced automatically throughout the day. You get an email when a new lead arrives and a daily reminder about leads that are still pending. Each lead has a status — pending, interested, booked, no answer, not interested or bad lead — so the follow-up board shows exactly where things stand.

When it's time to reach out, the unified inbox keeps SMS, WhatsApp and social conversations in one place, with each person's history saved as a contact. And if your leads come from ads, Meta Ads management shows which campaigns are bringing them in.

The short version

  • Get every lead into one list.
  • Reply as fast as you can — set alerts and a clear owner.
  • Use the channel your customer prefers, and keep messages short.
  • Track each lead with a simple status.
  • Follow up several times before you stop.
  • Review results weekly and put more into what works.

Good follow-up isn't about being pushy. It's about being reliable — the business that answers, remembers and makes it easy to say yes.
